Participant Guide for Hybrid Conferences

This guide was prepared to provide more information regarding SIAM Conferences being held in hybrid format.

The information below includes important details for both In-Person and Virtual Participants. Regardless of registration type (In-Person or Virtual), all registrants will have access to the Pathable virtual platform, as outlined below in the section titled “Virtual Platform and Mobile App Information.” All registrants will receive an email from SIAM with instructions on how to access the Pathable virtual platform several days prior to the conference.

To avoid potential login issues when accessing the virtual conference platform, and to ensure all conference-related correspondence is directed to the same email address, speakers, session organizers, session chairs, and poster participants should ensure the email address in SIAM’s Conference Management System matches the email address associated with your main SIAM account

Virtual Platform and Mobile App Information 

Regardless of registration type (In-person or Virtual), all conference registrants will have access to the virtual platform powered by Pathable, accessible via a web browser or downloadable mobile app. A list of system requirements for access via web browser or mobile app is available - read now

Several days prior to the conference, all conference registrants will receive an email from SIAM with instructions on how to access the Pathable virtual platform. Links to Pathable will also be posted to the conference website. The Pathable mobile app for all 2022 hybrid conferences can be found on the Google Play Store and Apple App Store by searching under “SIAM 2022 Hybrid Conferences”. Users will be able to select the conference from within the app when they receive the email with instructions.

The program is available via SIAM’s online program (accessible from the conference website/Program/Program & Abstracts page) and on Pathable. All sessions will take place at their scheduled time, and can be accessed via the Pathable platform. SIAM’s online program contains the most current scheduling details, while the Pathable agenda will be updated regularly with a delay of up to two hours. Pathable’s virtual platform will adjust to the time zone of the user’s computer. Participants should review SIAM’s online program to determine in which time zone sessions are listed.

When interacting with Pathable, access the list of sessions using the “Agenda” option under “Schedule.” After selecting “Agenda,” find the session you are seeking and click on it. A “Join Meeting” button will appear when the session is live, where “This live meeting hasn't started yet” currently appears.  

Virtual sessions will launch twenty (20) minutes prior to the session start time for speakers, session organizers and session chairs. Virtual sessions will launch for all other participants one (1) minute prior to the session start time.

All sessions, except Invited/Joint Plenary and Prize (IP/JP and SP) Sessions, will be held as Zoom meetings. If you are not acquainted with Zoom, we recommend becoming familiar with the Zoom Meeting format prior to the conference.

In-Person Participation Information

1. Badge Collection 

Badges must be collected at the Badge Pick-Up and Information Desk. Hours are posted with the conference program. 

2. Masks 

SIAM has aligned its masking policy with that of the CDC (visit SIAM Hybrid Conference Guidelines & Policies for more information). Even when not required, SIAM encourages mask wearing and practicing social distancing when possible.

3. Vaccination Requirement

Vaccination is required. In-person registrants will receive an email from SafeAccess regarding vaccination documentation, which will provide instructions on uploading vaccination information. Upon receipt of this message, please upload your documentation immediately. If you do not receive an email, please contact [email protected].  Failure to comply will result in your registration status being changed from In-Person participation to Virtual participation, and you will not be granted access to the conference venue. 

4. Speaker, Minisymposium Organizer, Minitutorial, Panel and Session Chair Instructions [In-Person]

SIAM does not provide computers. If participating in one of the following roles, you must bring your own laptop:

a) Minisymposium Organizers (MS)

b) Minisymposium Speakers (MS)

c) Contributed Speakers (CP)

d) Session Chairs (CP)

e) Minitutorial Organizers and Speakers (MT)

f) Panel Organizers and Speakers (PD)

g) Invited, Joint and Prize Speakers and Session Chairs (IP, JP, SP)

Session Organizers and Session Chairs are responsible for introducing each speaker and adhering to the posted schedule. It is imperative sessions conclude at the scheduled end time. Session Organizers and Session Chairs should review the online program to review the most up-to-date session information, and when possible, check the pronunciation of each speaker’s name.

If a presenter ends early or is a "no show," use the extra time for questions and comments and refrain from starting the next talk early. Simply break during the vacated timeslot and resume your session with the next scheduled presentation. Please email [email protected] with any undocumented cancellations or replacement speakers.

Session Organizers and Session Chairs should ensure that all questions posed either in-person or via the Zoom chat/Q&A feature are repeated verbally over the microphone. To review the questions posed in chat, the session organizer or chair must also be logged into the Zoom session to review questions submitted via Zoom. To avoid feedback or other audio disruptions, please disconnect the audio on your computer’s Zoom session by selecting “Leave Computer Audio” in the options menu available next to the microphone icon.

5. Poster Presenter Instructions [In-Person]

If the conference has a poster session, in-person poster participants must put up their posters by the start time of the session, utilizing the boards and push pins available onsite. In-person poster presenters should review SIAM’s Guidelines for Poster Presenters.

In-person poster presenters are also expected to submit a virtual poster that will be viewable for the duration of the conference. See instructions below under “Virtual Participation Information.”

Virtual Participation Information 

1. Speaker, Minisymposium Organizer, Minitutorial, Panel and Session Chair Instructions [Virtual]

Pathable’s virtual platform will recognize individuals participating in one of the following roles, and grant these participants Zoom access to their session twenty (20) minutes prior to the session start time:

a) Minisymposium Organizers (MS)

b) Minisymposium Speakers (MS)

c) Contributed Speakers (CP)

d) Session Chairs (CP)

e) Minitutorial Organizers and Speakers (MT)

f) Panel Organizers and Speakers (PD)

All virtual presenters are responsible for ensuring their Zoom software is up-to-date.

When interacting with Pathable’s virtual platform using your browser or mobile app, access a list of sessions using the “Agenda” option under “Schedule”. After selecting “Agenda,” find the session you are seeking, and click on it. A “Join Now” button will appear when the session is live, where “This live meeting hasn't started yet” currently appears. 

Upon entering the session via Pathable, you will be greeted by an audio-visual technician from SIAM’s audio-visual partner, CMI, to assist with setup. Please introduce yourself and indicate whether you are a speaker, Session Organizer, or Session Chair. The CMI technician will assist you with testing audio, video, and screen share capabilities. After this is complete, stay muted until you are introduced by the session chair. Please note: If you are Invited Plenary (IP/JP) or Prize (SP) speaker or session chair presenting virtually, you will be contacted directly with session access instructions.

If a CMI tech is not immediately available upon entering the Zoom, please remain in the Zoom until the CMI technician enters.

If you encounter technical issues during your session, ask the CMI technician verbally or via the Zoom chat function, or request assistance via the “Need help? Get support” button at the top left of the Pathable homepage if using your browser, or click “Get Support” from the mobile app flyout menu.

Session Organizers and Session Chairs participating remotely should keep their laptop muted, unmuting only to make introductions and read the questions posed in the Zoom chat/Q&A feature verbally. Additionally, these individuals should request in-person participants utilize the microphone in the meeting room to ask questions. 

2.  Poster Presenter Instructions [Virtual]

If the conference has a poster session, poster participants can upload their poster files as soon as they register and have access to Pathable’s virtual platform. All poster presenters, even those participating in-person, are expected to upload their poster files to the virtual platform.

To upload your poster, click on “Poster Session” in the top right of the platform’s navigation bar and scroll down to find your poster title. Click on the box to enter your poster booth, click “Manage” in the top right then “Files” in the tabs that are displayed. Using the “ADD NEW FILE” button you will be able to add files for your booth. 

We recommend PDF format for the poster itself. Presenters may also upload supporting documents and recorded video walkthroughs in MP4 format. 

The scheduled Poster Session will be geared towards those participating in-person. All posters uploaded to the virtual platform will be available throughout the conference, and participants unable to meet in person are advised to set up private meetings through the virtual platform to discuss the poster.
