CSE21 Participation Guide for Presenters and Session Organizers

We are looking forward to your participation at the SIAM Conference on Computational Science and Engineering (CSE21). We prepared this guide to give you a preview of how the different presentation formats will operate. Details will be added to this guide as they become available.

Please read this again even if you read through it earlier, since some of the details have changed recently.

Presenting a Poster

Poster Blitz and Presentation - Upload Deadline of February 15 has passed!

A “poster blitz” is a 30-second video overview of a poster. We will have a plenary poster blitz session immediately before the first poster session on Tuesday. All poster presenters are strongly encouraged to submit a blitz presentation. A prize will be awarded to the best poster blitz presentation.

Presenting Your Poster

Before the conference starts, verify using SIAM’s online program and speaker index in which poster session (PP1-7) your poster is being presented, and at what time. At that time, you will be expected to have your poster open to respond to questions posted in the Q&A window attached to your poster. For more interactivity, we encourage you to also have open in a separate window the chat room dedicated to your poster session, available through the “Chat” tab in the blue navigation bar at the top of the window. From there you will be able to launch video discussions with those viewing your poster. Presenting a Poster in the Poster Session Chatroom

Only follow these instructions if you did not upload your poster to the CSE21 platform by the February 15th deadline!

  1. Identify your poster number and poster session from this list of posters not uploaded and SIAM’s online program:
    o Session PP1 includes posters 1-38
    o Session PP2 includes posters 39-86
    o Session PP3 includes posters 87-97
    o Session PP4 includes posters 99-102
    o Session PP5 includes posters 103-164
    o Session PP6 includes posters 165-179
    o Session PP7 includes posters 180-197
  2. The CSE21 platform is now available for registrants to enter using your SIAM login information using the Attendee login.  The chat feature of the platform will only be available via the top navigation bar during the live days of the conference, starting Monday morning.  On Monday, please navigate to the chat using the top navigation bar.
  3. Click “Join other chatrooms” and search for your poster session using PP1, PP2, etc.  Select your poster session and click “Save” at the bottom of the window.
  4. In the left column, click on the poster session you just saved.
  5. Click “Attach file” below the “Enter Message” box and select your poster PDF file.  Click “Open”.
  6. Cut and paste your poster number, title, and author list from here into the “Enter Message” box and click the “Send” button.
  7. Attendees who have joined the poster session chatroom will now be able to download and view your poster.  Invite discussion by posting a message in your poster session’s chatroom, ideally just as your poster session is scheduled to start.  For example:
    o Hello, my name is Pippi Lagerfeld, author of poster #359.  Please click my name under “Online Users” to ask for a video walkthrough.
  8. Once you launch a video chat with another user, you can post the URL of that video chat back into the poster session chatroom to invite others to join in.

Chairing or Presenting an Invited Plenary or Prize Talk

Invited prize and plenary talks will be run using Zoom’s webinar format. Session chairs and speakers will be sent Zoom links by email in advance of each talk. If by the morning of your session you have not yet received the link, please let vFairs/SIAM staff know using the tech support chat room within the platform and they will provide you with the appropriate link.

Session chairs and organizers are required to join, via the link they will already have received by email, 15 minutes prior to the posted start time of the session.  Please introduce yourself as a chair or speaker to the vFairs staff in the Zoom, and that person will assist you with testing audio, video, and screen share capabilities. Session chairs are responsible for ensuring that speakers stay within their allotted time.

All invited and plenary talks have been pre-recorded.  In some cases those recordings are simply backups in case of poor connections and in other cases the speakers have already indicated that they are to be used by default.  The vFairs staff in the Zoom will have a link to all recordings.  Please confirm with the vFairs staff person before the session starts whether or not the recording is to be used.  If so, the vFairs staff person will either play the recording (including recorded introduction by the session chair) over screen share or will show the session chair how to play the recording. When the recording ends, the session chair will moderate the live Q&A period for the speaker.


Chairing or Presenting in a Minisymposium

Minisymposia will take place during their scheduled times in a live* and interactive format (using Zoom’s meeting format). Session organizers will introduce each speaker. The session organizer is responsible for making sure that talks run on time. 15 minutes have been allotted for each talk, plus an additional five minutes for questions. Please do not deviate from the schedule, even if a speaker cancels or finishes early. It is imperative that session organizers strictly adhere to the time limits to avoid conflicts with other minisymposium talks happening in parallel. Session organizers should be prepared to moderate the Q&A period for each speaker.

Session organizers and speakers are required to enter their Zoom sessions 15 minutes in advance of the posted start time of the session to get set up.  You will not be sent links to the Zoom by email; you will simply enter the session by clicking the “join” button from the program within the platform, and identify yourself to vFairs staff as an organizer or speaker. The vFairs staff person will assist you with testing audio, video, and screen share capabilities. Due to the large number of parallel sessions you will not necessarily have a vFairs staff person present in your Zoom at all times during the session; if an issue arises during the session please report it in the technical support chat room and you will be given immediate assistance. 

* Session organizers can opt to play a prerecorded talk over Zoom screen share for one of their speakers in exceptional circumstances. Just ask the vFairs staff in the Zoom for assistance.


Chairing or Presenting in a Minitutorial or Panel

All CSE21 Minitutorials will consist of two parts, with each part running in parallel with minisymposia. 

Minitutorials and panels will be run using Zoom’s meeting format. Organizers, speakers, and panelists are required to enter their Zoom sessions 15 minutes in advance of the posted start time of the session to get set up. You will not be sent links to the Zoom by email; you will simply enter the session by clicking the “join” button from the program within the platform and identify yourself to vFairs staff as an organizer or speaker. The vFairs staff person will assist you with testing audio, video, and screen share capabilities. Please make sure you adhere to the posted time of the minitutorial or panel.  Determining a protocol for when and how questions are received and answered is the responsibility of the session organizers.

Some panels have arranged in advance to have breakout rooms enabled. The panel organizers should discuss with vFairs staff before the session starts how the panels are to be used.
